Zoom Phone Help

Zoom phones are Voice Over IP (VoIP) phones (Standard Desk Phones). They operate just like SBC Phones always have (same extensions, same basic functions).

– You no longer need to dial 9! – Just dial the 7 or 10 digit number like normal like your cell phone
– Phone Navigation – press the Home button to the right of the Navigation dial to see options
– Voicemail to Email – an audio COPY of voicemail is emailed to you AND the text is transcribed in the email message
Basic Functions – Please find all basic phone functions below.
- Pick up handset or press Speaker Button
- Outbound Calls – dial 7 or 10 digit number
- Internal Calls – dial 4 digit extension
Note – You do NOT need to dial 9 for an outside line any longer.
- Make or receive a call
- Press the Transfer button
- Dial the extension (4 digit) or outside number (7 digit) you wish to transfer the call to
- Press Send….. Hang up
- Press Voicemail button
- Select Message Center
- Select New
- Press Connect
- PIN number (refer to “Change Voicemail PIN” section if you don’t know your PIN or would like to reset it)
- 2 to save message
- 3 to delete message
- 4 to play again
- 5 to skip to next message
- Home – small house icon
- Navigation Dial – large round dial
- Voicemail – real to real icon
- Hold – handset with pause icon
- Transfer – handset to handset icon
- Volume – tall + and – button
- Speaker Phone – speaker icon
- Mute – mic with line through it
- Press the More soft button (under the main display)
- Press the button under DND
Step 1 – Login to Voicemail
- Press Voicemail button
- Select Message Center
- Press Connect
- PIN number (refer to “Change Voicemail PIN” section if you don’t know your PIN or would like to reset it)
Step 2 – Record greeting
- Press 2 – to record
- Save greeting
- Make or receive a call
- Press More (soft button on screen)
- Press Confrnc (soft button on screen)
- Make 2nd call – extension number or external phone number
- Press Confrnc (soft button on screen) once the 2nd call is answered
- Answer the call
- Press the Hold button
- Press the Hold button again to return to the call
Open a web browser, go to www.zoom.us and click Sign In
- On the left click Phone
- Click the Settings tab
- Scroll down to the Desk Phone section
- Click on the Show to see PIN
- Change number and click Save
Each set of buttons displayed is a screen – Move between screens with the three dot icon (…)
Each screen allows you to have another complete set of new buttons
Pages are added automatically once you have filled the first page
Press and hold the three dot button (…) for more options
Many Poly instructions call these buttons “Speed Dials”
Open a web browser, and go to www.zoom.us and click Sign In
- On the left click Phone
- Click Settings tab
- Scroll down to the Desk Phone section
- Find Keys & Positions, click Edit
- DO NOT CHANGE THE FIRST KEY
- Change Keys as needed by clicking “Manage Key” at the top
- BLF = other extensions
- Speed Dial = outside numbers
- Scroll down and click Save
Note: Each screen starts at a different line
- Lower Screen 1 – starts at line 9
- Lower Screen 2 – starts at line 15
- Expansion 1 (Reception) – starts at line 21
- Expansion 2 (Reception) – starts at line 43
- Expansion 3 (Reception) – starts at line 65
