Making a Call
  1. Sign into the Zoom desktop app
  2. Click Phone
  3. Call a number using one of these methods
    1. Number Pad: Dial a number using the on-screen or your keyboard number pad, then click the blue phone icon. If you dial a vanity phone number (the number contains characters), Zoom Phone will automatically convert the letters to numbers when you make the call
    2. Copy and Paste: Copy and paste a number into the text field, then click the blue phone icon.
    3. Search contacts: Type a name or number above the dial pad to search through your internal, external, and synced contacts. Click a search result to make a call. If the contact has several phone numbers, click the right arrow icon to view and select the number to call.
    4. Starred contacts: Click the Starred tab above the number pad to view your starred contacts. Hover over the contact and click the phone icon to call them.
  4. Click the Caller ID drop-down menu below the number pad to change the outbound caller ID number
In-Call Controls
  • Hold Place a call on hold or resume the call. The receiving party will hear music while the cal lis on hold, you can use call flip to switch the call to another device (Zoom desktop app, mobile app, or Desk phone)
  • Transfer – Transfer the call to another number or person. You can also transfer the call to voicemail.
  • Meet – You can elevate a phone call to a Zoom meeting when needed.
  • Keypad – Displays a dial pad to enter numbers during the call.  For example, the dial pad allows you to select an option during an interactive answering machine or to enter an extension number when prompted.
  • Record – You have the ability to record calls as needed by pressing the record button while in a call and stop the recording by pressing the record button a second time. If you transfer a call, the recording will stop.  If you add a new caller to the call, the recording will stop when you merge the calls. If you elevate the call to a Zoom meeting, the recording will stop.
Voicemail

Zoom Phone forwards all unanswered and declined inbound calls to your voicemail.  You can use the Zoom desktop app, mobile app, or web portal to play and manage your voicemail messages

Zoom Phone voicemails will appear in your Zoom App in the phone section.  Here you can listen to them as well as read a transcribed copy of the voicemail.   The voicemails will also be emailed to you with the same transcribed text so you can read it or listen to it.

Call History and Recordings

After making, receiving, or recording calls, you can check your call history and recordings on the Zoom Desktop App, Mobile App, or web portal. 

Do Not Disturb

To enable the Do Not Disturb feature on the Desktop App:

  • Locate your profile pic in the top right corner and click on it
  • Below your account name will show your status.  It will most likely say “Available” and have a green dot
  • Hover your mouse over the current status and a drop list will appear with the following options
    • Available
    • Busy
    • Do Not Disturb
    • Away
    • Out of Office
  • Do Not Disturb has the available options:
    • 20 minutes
    • 1 hour
    • 2 hours
    • 4 hours
    • 8 hours
    • 24 hours
    • Custom
  • When Do Not Disturb is active, your phone will not ring and all calls are sent to voicemail
